About the Role:

The Service Administrator at Garden State Yacht Sales (GSYS) plays a crucial role in ensuring the smooth operation of our service department. This position is responsible for managing service appointments, coordinating with technicians, and maintaining accurate records of service activities. The Service Administrator will also be the primary point of contact for customers, addressing their inquiries and ensuring their satisfaction with our services. By effectively managing service workflows and documentation, this role directly contributes to the overall efficiency and reputation of GSYS. Ultimately, the Service Administrator helps to enhance customer loyalty and drive business growth through exceptional service delivery.

Minimum Qualifications:

  • High school diploma or equivalent.
  • Proven experience in an administrative role, preferably in a service or customer-facing environment.
  • Strong organizational skills and attention to detail.

Preferred Qualifications:

  • Experience in the marine industry or with yacht services.
  • Familiarity with service management software or customer relationship management (CRM) systems.
  • Associate's degree in business administration or a related field.

Responsibilities:

  • Schedule and manage service appointments for customers, ensuring optimal use of technician time and resources.
  • Maintain accurate records of service orders, customer interactions, and technician reports in the service management system.
  • Communicate with customers regarding service updates, pricing, and any additional work required on their vessels.
  • Coordinate with service technicians to ensure timely completion of service tasks and address any issues that arise during the service process.
  • Assist in the preparation of service reports and documentation for customer follow-up and billing purposes.

Skills:

The required skills for this role include strong organizational abilities, which are essential for managing multiple service appointments and ensuring that all records are accurately maintained. Excellent communication skills are vital, as the Service Administrator will interact with customers and technicians daily, providing updates and addressing concerns. Attention to detail is crucial for maintaining accurate service records and ensuring that all customer interactions are documented properly. Preferred skills, such as familiarity with service management software, will enhance the efficiency of daily operations and improve the overall customer experience. Additionally, experience in the marine industry can provide valuable insights that will help the Service Administrator better understand customer needs and service requirements.
