Job Summary

The Private Shore Excursions Lead is a key operational support role responsible for facilitating the planning, coordination, and execution of luxury private and custom shore excursions across the global fleet. This position ensures all private shore excursion requests are handled efficiently and with the highest level of service by working cross-functionally with tour operators, internal departments, shipboard teams, and guests to manage a wide range of pre-voyage activities. Responsibilities include handling initial guest inquiries, managing vendor communications, updating booking systems, and supporting logistics leading up to each voyage. Exceptional communication, organization, and multitasking skills are essential, as this position contributes directly to guest satisfaction, operational execution, and program success.

Essential Functions

Guest & Vendor Communication

  • Serve as the first point of contact for private and custom shore excursion inquiries, responding to guest and internal requests with timely, clear, and accurate information.
  • Liaise directly with tour operators to confirm availability, request proposals, and negotiate services for both Pre-Designed and Custom Private Excursions.
  • Manage ongoing communications and follow-ups to ensure all elements of the experience are finalized within required timelines.
  • Ensure seamless pre-voyage handover to the ship team through thorough and timely communication of all guest bookings and special requirements.

Booking & Systems Management

  • Maintain accurate and up-to-date guest and excursion records across internal databases, including key details such as proposals, preferences, and booking deadlines.
  • Manage the uploading of finalized itineraries and supporting documents into operational systems, ensuring timely and accurate updates to tour inventory and availability.
  • Oversee pre-voyage tracking tools to monitor booking progress, verify guest alignment, and communicate any changes or inconsistencies to relevant teams.
  • Track payment and booking status, collaborating with internal departments to resolve outstanding issues and ensure a smooth guest experience.
  • Review and correct data discrepancies across guest-facing platforms to guarantee accurate and consistent information is presented before each voyage.

Operational & Cross-Functional Support

  • Prepare and distribute standardized communications for select guest programs, ensuring accuracy, clarity, and brand alignment.
  • Support the planning and execution of specialized travel experiences, including promotional trips, marketing initiatives, and group events.
  • Coordinate logistics and documentation for high-visibility guest experiences, such as influencer and media visits, ensuring smooth execution and internal alignment.

Competency

Education: Bachelor’s Degree or higher in Geography, Fine Arts, Hospitality Management, Business, or a related field.

Skills & Experience:

  • Minimum of 5 years of relevant shore excursion experience. Global destination knowledge is highly preferred
  • In-depth knowledge of global travel destinations, with an understanding of luxury guest expectations
  • Strong sales acumen and strategic mindset to drive revenue for bespoke and pre-designed private excursions
  • Excellent English verbal and written communication skills, with a focus on guest interaction, vendor coordination, and internal collaboration
  • Highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced environment
  • Professional and positive attitude when working with guests, colleagues, and external partners
  • Proven problem-solving skills with the ability to resolve issues efficiently and independently
  • Experience supervising and mentoring both internal team members and external vendors
  • Proficient in Microsoft Office;
  • Experience with Salesforce, MXP, and RESCO is desired
  • Ability to travel as needed, including internationally
